we would like to hear your opinions and feedback on our cost estimate.
Is this calculation realistic?
A few details in advance:
We live in the southern part of Baden-Württemberg. The potential plot of land is 746 sqm (8000 sq ft). The application has been submitted. The plot is fully serviced and is not on a slope.
Hoping that we will get the plot, we started to calculate what our single-family home can cost.
A financial confirmation for 500,000 € already exists.

Furthermore, we have our first consultation appointment with FischerHaus GmbH coming up soon. We are not quite sure how to best prepare for it.
What is typically discussed during this first meeting?
One thing that causes us some anxiety is the salesperson asking about our budget. Of course, the salesperson needs some "room to maneuver," but I want to avoid them selling us a house below its actual value just because they know our budget.

An interesting and actually not a bad approach to work backwards from the available budget. (It always reminds me a bit of my childhood and going to the corner shop, asking for as many gummy bears as possible for 50 pfenning.)
Overall, I find the financial calculation fairly reasonable. However, you should consider that from the remaining 78,401.03 EUR, at least the flooring and wall coverings still need to be paid for — that already reduces the budget by around 20,000 EUR. (Are you planning to contribute any personal labor?) Oh, and with the 140 m² (without basement — which will be noticeably more expensive anyway), I am left with only 57,401.03 EUR.
I do see the problem that your desired room layout might not fit into the intended 140 m². Also, I notice the absence of the children’s bedroom(s), which, by definition, is necessary for a parents’ bathroom to exist. Realistically, you would probably need a cautious estimate of 160+ m², and then the budget starts to run out, especially since we haven’t yet discussed any upgrades.
All in all: It’s good to have a detailed plan, but overall, it looks a bit tight unless the budget is increased or the room program is reduced.
Edit: Just noticed that you’re considering KfW 40. That will increase costs further and doesn’t align with the 2,100 EUR/m² price.

What exactly will be discussed during the initial meeting? If you like, and haven’t done so yet, you can download the architectural brochures, take a look at the floor plans to see which one appeals to you most, adapt it to your preferences, and bring it with you to the initial consultation.
As always, a word of caution at this point: since the plot of land is not yet owned by you, → do not sign any preliminary contracts with supposed cancellation rights (and possibly offered land brokerage) or similar. House sellers often try this because ultimately, they don’t care if or where you build; for them, it’s all about selling the house.
