I am looking for a tool, software, or even an Excel template that lists all construction costs (trades, fees, etc.). Ideally, it would allow for both cost estimates and actual expenses to be recorded.

Are you looking for a spreadsheet template? Or are you seeking specific figures (costs)? Or is your goal to compile all relevant items (earthworks, site setup, etc.)?

What is relevant for you depends on your situation. Are you building without an architect—is it a general contractor or main contractor or construction management or a building supervisor? Or is it a do-it-yourself project?

I have searched several times but haven’t found anything useful. My goal is to compile the relevant items. The exact figures always vary, of course.

It’s still undecided whether it will be a general contractor, main contractor, turnkey builder, or construction supervisor.

You should take the time to gather information about costs yourself.
This effort contributes to a better understanding of the basic expenses and overall knowledge of house construction. It is similar to researching for a presentation you have to give: every hour you spend on costs and building teaches you and does not make you less knowledgeable. Those who leave it entirely to others miss out on fundamental insights.

There are things in life you simply have to go through yourself.

I researched multiple prices online for all items (blogs, forums) and then took an appropriate average. However, you need to make sure the prices are relevant for your region.

So far, the cost estimates have been quite accurate, even slightly conservative, which is actually good.

Effort well spent. Here in the forum, the costs of building a house are summarized as follows:
1. Multiply the desired living area in square meters by the usual price per m² (square meter)
2. Add ancillary construction costs
3. Add financing and additional purchase costs
4. Add special requests (basement, landscaping, furniture)
5. Add a contingency amount
That’s how you get the total.

If you build with a general contractor (GC), you should know that ancillary construction costs can range roughly between 20,000 and 50,000 euros (depending on the project). If you build with a property developer, you have a fixed price for everything (plus upgrades, personal requests, and anything that might be missing, such as kitchen, garden, etc.). If you build with an architect, they owe you a cost estimate.

Whether you plan a flat 30,000 euros for ancillary construction costs in advance, or break down everything from the portable toilet to the batter board to the construction fence, in my opinion it doesn’t make a difference. (Perhaps an exception if you are doing a DIY build).
