I am looking for software to document our entire house construction project. I want to use the software to manage applications, quotes, plans, and so on. Additionally, I want to keep a construction diary during the building phase and attach documents related to each construction stage, such as chase plans and similar. After the house is completed, all documents should be stored and documented neatly within the software.
Which software would you recommend for this?
Thanks
Regards
Manuel

We use the Microsoft file system,
a new folder named House Construction with appropriate subfolders.
The files include Word, Excel, PDF, and jpg formats with precise file names and dated versions.
We are not willing to convert all files into one system.
In parallel, there are now 3 physical house folders.
There are 1,000-year-old parchments, but no storage media.

We don’t want to convert all files into one system,
and currently, there are three physical folders with paper documents.
There are thousand-year-old parchments, but no data carriers. I totally agree. Create an account with a cloud storage service (Google Drive, Microsoft OneDrive, Dropbox) and save all your documents there. That way, you can access them from anywhere (phone, tablet, different laptops), and you avoid the risk of losing everything if your hard drive fails. Additionally, you get version management for all files.
If needed, get a good scanner that can quickly scan multi-page and double-sided documents (in case you receive something by mail), and also save the scanned versions in the cloud. This way, you have everything quickly accessible (although I would still keep physical copies filed as well).

New folder "House Construction" with corresponding subfolders. Additionally, I document everything in a Blogspot journal. Here, I briefly write down (like in a diary) details such as how much mortar we mixed for the foundation of our garden shed and, with photos, how we built the shed. Or the various tests for our facade color are stored there... and so on. Since 2013, I have created about 500 entries! Everything can be easily found using tags. This has been very helpful for us up to now.
We document everything in Miro.
It’s an online whiteboard.
You can upload documents, photos, text, videos, and more, and display some of them natively – alternatively, you can download them again.
You can comment and work on it simultaneously with multiple people.
With some color coding and a bit of structure, you can find everything relatively quickly and have good documentation.
In the paid version, you can also export it as a PDF – maybe it’s worth spending about 15 EUR for a one-month subscription at the end.
For a construction diary that others should see, the more well-known options are probably better.
Although, if necessary, you could create a separate board for this and share the link.
Edit: Regarding scanning and paper documents: Microsoft’s Office Lens is the app of choice ;-)
Available for all mobile platforms.

There are thousand-year-old parchments, but no data carriers. Sorry for reviving this old thread. Would you or anyone else please share your tested folder and subfolder structure here? That would be very helpful, and the thread can be closed again right afterward.
