Hello everyone,
I’m currently facing the following issue: I ordered a Kallax shelving unit, but when unpacking it, it doesn’t fit as I had expected. The dimensions match the product description, but in my living situation, the unit can’t be aligned flush with the other furniture – especially the back panel seems different, so it doesn’t close properly.
Does anyone have experience with how IKEA handles returns in such cases? I’m particularly interested in the process: Do I need to fully repackage the unit? How does collection or return at the store work? And how flexible is IKEA with damaged or ill-fitting units?
I’d prefer not to spend several hours at the store over such a minor issue or end up stuck with the unit. Thanks in advance for any helpful feedback!

Does anyone here have experience with how Ikea handles returns in such a case?Ikea generally accepts all unused items for return, provided the original packaging is intact. For units like Kallax, it’s best if you still have the original packaging for the shelf.
Returning items in-store is usually straightforward, although you may sometimes experience a wait. They do not offer pickup services for returns.
I’m happy to help you in more detail, as I have experience with different Kallax units and returns myself.
First: The Kallax unit is manufactured quite precisely, but the fit against walls or other furniture often depends on the surface and minor structural differences. This especially affects the back panels and the attachment of the individual elements.
Regarding returns: Ikea usually requires that products are returned unused and preferably in the original packaging. This means that if you have already unpacked and assembled the unit, returning it becomes difficult. It is also important that there are no visible signs of use – this often influences whether you get a full refund or only store credit.
My tip: If you have unpacked the shelf but not fully assembled it, try to carefully disassemble it and store it in the original packaging as much as possible. If there are issues, you can register a return online on Ikea’s website, and often you can return the product at one of their stores. The staff are usually helpful, but it’s a good idea to bring your receipt with you.
The process:
1. Repack the product as far as possible.
2. Have the purchase receipt ready.
3. Go to customer service at the store.
4. The return will be checked and usually processed on the spot.
If there are problems, you can also contact customer service by phone; they often provide specific guidance on returning your particular item.
What is meant by “a differently fitting back panel”: Sometimes there are alternative models with or without open backs. Have you checked whether the item might have been delivered incorrectly? That would be a defect eligible for an immediate exchange.
If you can provide more details, e.g., whether it is a single unit, if you have assembled multiple Kallax units, or if there are missing parts specifically, I can give you more precise advice.

Have you double-checked whether the wrong item might have been delivered? Thanks, that’s a good point. I’ve just compared everything carefully again: It’s supposed to be the basic 1x4 Kallax unit (with an open back according to the description), but the delivered piece has a fixed back panel that even protrudes slightly. No idea if this is a manufacturing fault or a mix-up in the warehouse.
I probably intended to place it next to an existing shelving unit where the back is usually open, but in this case, this fixed back panel doesn’t fit.

I’ll go to Ikea tomorrow and try to return it there directly. Are there any special tips on what I should bring or keep in mind?
Hello Ciropeo,
I had a similar issue some time ago and can share a step-by-step guide to help ensure your return goes smoothly:
1. Packaging & Condition: As you correctly mentioned, the original packaging and unused condition are essential. Opening the package to check the items is not a problem.
2. Proof of Purchase: Always bring the receipt or order confirmation. Without proof of purchase, returning the item becomes more difficult, and you will often only be offered a store voucher.
3. In the Ikea Store:
- Go directly to the customer service desk (return counter). Politely explain that you want to exchange the product due to the wrong back panel.
- Cooperate with the staff and kindly explain the situation.
4. Complete Packaging: If the unit has been partially unpacked, repackage it as completely and securely as possible. Try to include all parts and screws.
5. Refund: Most Ikea stores will refund your purchase price either in cash or via card, usually immediately.
6. Pickup: Ikea generally does not offer home pickup for returns, but in exceptional cases, you can inquire by phone.
My advice: Always stay polite and cooperative. Ikea is usually very accommodating with returns, as long as the items are within the return policy.
One additional note: Sometimes Ikea has different production batches of furniture, and for series items, small differences between production runs can occur. Therefore, it can be helpful to check with the warehouse before repurchasing or to inspect the item directly in the store when possible.
Good luck with your return! 🙂 Feel free to share how it went if you like.
