Hello everyone, some time ago I bought Malm furniture from Ikea and have now unfortunately discovered some defects. To make a warranty claim, I want to report the damage correctly and clearly. My question is: What is the best and proper way to present defective Malm furniture for a warranty claim? What specific steps should I take, which information is important, and how can I document the defects properly so that Ikea can respond without any issues? I know photos are important, but are there any special things to consider here? Thanks in advance for your helpful tips and experiences!

GUSTAVO5612 Jan 2020 12:50I would like to add the following: If the defect, for example, breaks through the bottom of a drawer, you should also check whether the mounting screws on the sides are properly secured. Such damage often occurs due to uneven load or assembly defects.
From my experience, document not only the obvious damage but also the quality of the assembly. If possible, keep the original packaging or installation instructions as proof.
Regarding the next steps: Write your report objectively, referring to the legal warranty (usually 2 years in Germany) as well as Ikea’s warranty conditions.
Important: Ask how the replacement or repair will be carried out and which steps Ikea recommends to ensure a quick resolution.

I always keep my purchase receipt as a PDF on my phone for quick access when contacting Ikea. I also briefly explain in my message what is broken, when I noticed it, and politely ask about the next steps. My tip: Don’t write too complicated, just be clear and courteous 🙂

2. Keep the purchase receipt ready
3. Describe the defect briefly and precisely, for example, "Drawer bottom broken despite adhering to the load limits"
4. Send an email to Ikea or use their complaint form

A small addition from me: Even better than just taking photos is often marking the damage area before packing, so Ikea technicians know exactly where the problem is when they do the repair.
I always use small colorful sticky flags to mark damaged spots. This saves time and avoids confusion. 🙂
Also: When sending in or picking up, insist on a receipt and have all the information about the claim documented.
